Privacy Policy

Deskbell Inc. ("Deskbell", "we", "us") builds and operates AI phone agents for businesses in Canada. This policy explains what personal information we collect, how we use it, and the choices you have. We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws.

Who this policy covers

This policy applies to two groups: our business clients (the companies who hire us), and the callers who reach a phone line that a Deskbell agent answers on a client's behalf. For calls handled on behalf of a client, that client is responsible for how the resulting information is ultimately used; Deskbell processes it on their instructions.

Information we collect

From our clients: business contact details (name, email, phone, company), account and configuration information, and billing details needed to provide the service.

From callers to a client's line: the phone number the call comes from, call audio and recordings where enabled, transcripts of the conversation, and any information a caller chooses to provide, such as their name, the reason for their call, appointment details, or an address. We collect only what is needed to answer the call and complete the caller's request.

From our website: basic technical and usage information (such as IP address and pages visited) used to keep the site secure and understand general traffic. We keep website analytics minimal.

Call recording

Where call recording or transcription is enabled, the agent identifies itself as an automated assistant at the start of the call. Clients are responsible for ensuring the appropriate notice or consent is in place for their jurisdiction. Canada is generally a one-party-consent environment for recording, but publishing or reusing recordings carries additional obligations.

How we use information

We use personal information to answer and route calls, book and manage appointments, capture and deliver leads to the relevant client, operate and monitor the service, improve agent quality, provide support, handle billing, and meet legal obligations. We do not sell personal information, and we do not use caller information for advertising.

Service providers

To deliver the service we rely on third-party providers for voice, speech-to-text, language models, telephony, and cloud hosting. These providers process information only to perform services for us, under contractual confidentiality and security obligations. Where available, we make Canadian data-residency options available to clients on request.

Storage, residency, and retention

We retain personal information only as long as needed to provide the service, meet legal and accounting requirements, and resolve disputes. Clients can request specific retention periods for call recordings and transcripts. When information is no longer needed, we delete or de-identify it.

Security

We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information, including access controls and encryption in transit. No system is perfectly secure, but we work to protect information against loss, misuse, and unauthorized access.

Your rights

Subject to applicable law, you may request access to the personal information we hold about you, ask us to correct it, or withdraw consent to certain uses. Callers should generally direct requests to the business they called; we will assist that business in responding. To make a request directly to Deskbell, contact us using the details below.

Changes to this policy

We may update this policy from time to time. When we do, we will revise the "last updated" date above and, where appropriate, notify our clients.
